The Scale-up Workshop is the final “finish line” event where the Team transitions from a temporary sprint to a long-term legacy. Following last week’s creative brainstorming, your mission this week is to lock in strategic alignment and ensure every logistical detail is perfect for senior leadership’s arrival.

Meet with the Team Leader

As always, your first step is to partner with the Team Leader. This huddle ensures they are confident and ready to lead the room during the workshop.

  • Review the Blueprint: Go over the objectives and the agenda, adjusting them to fit the Team’s unique achievements.

  • Facilitation Handover: Identify which sections the Team Leader feels ready to facilitate and where they need your coaching support.

  • Revisit the Guide: Use the Overview of the Scale-up Workshop to ensure no critical strategic steps are missed.

3-Way Strategic Briefing

Convene a joint meeting with the Challenge Strategist and the Team Leader to ensure there is alignment on the way forward.

  • Sustainability Check: Review the Team’s initial thoughts on “Sustaining the Gains” and “Mapping the Way Forward” to get the Strategist’s executive perspective.

  • Stakeholder Mapping: Review the invitee list. Decide if additional leadership stakeholders need a pre-workshop briefing to ensure they arrive ready to make commitments.

  • Leadership Roles: Confirm which sessions the Challenge Strategist will lead. These are typically the “Sustaining the Gains” or “Mapping the Way Forward” segments, where their authority is most impactful.

Prepare your Digital Feedback Tools

Prepare your digital toolkit to capture the team’s voice.

  • The Survey: Prepare your workshop feedback survey in Mentimeter or as a print-out.

  • The Word Cloud: Set up a “Word Cloud” function for the final session. Participants can provide a single word describing their experience, creating a visual “heart” of the 100-day journey.

Command Centre Logistics

In a high-stakes environment, invisible logistics allow the Team and leaders to focus entirely on the work at hand.

  • Invitations – Draft the invitation and agenda; ensure it is signed by the Challenge Strategist to carry executive weight.
  • Venue Check – Visit the venue to confirm the availability of a projector, reliable power, and ample wall space.
  • Supplies – Ensure you have a surplus of flip charts and Post-it notes.
  • Handouts – Print the attendance register, agenda, and physical feedback forms as a backup to the digital survey.
  • Hospitality – Confirm refreshments to keep the team and leadership energised through the final “bragging” and planning sessions.
