Preparing for the "Pit Stop" - Refresh Workshop

The Refresh Workshop is the most critical milestone after the initial Start-up Workshop. Think of it as a mid-race pit stop where the Team pauses to refuel, adjust their Plan and ensure the Team Agreement is still running smoothly.

At this stage, if the Team is making strong progress, you also begin the vital work of “Sustainability Planning”—ensuring the impact outlives the 100 days.

This week, you are preparing everyone else to participate in the Workshop. You have three small tasks: 

Three Tasks This Week

The Strategic Alignment Meeting

Your first priority is a huddle with the Challenge Strategist and the Team Leader to set the stage for a successful workshop.

Items for your Agenda:

  • Reality Check: How is the Team actually performing against the Goal and 100-day plan?

  • Culture Check: Is the Team agreement being respected, or do we need to address any emerging friction?

  • Leadership Expansion: Aside from the Strategist, which other senior leaders should we reach out to help unblock the hurdles that have come up?

  • Logistics Lock-in: Finalise the exact timing and a venue that encourages creativity rather than “bureaucracy-as-usual”.

The Digital Feedback Engine

In line with your goal to be a data-driven coach, you need to prepare the tools that will capture the team’s honest feedback during the workshop.

  • The Tool: Download the feedback survey or build it in Mentimeter.

  • The “Why”: Using a digital tool like Mentimeter allows for anonymous, real-time feedback that can be visualised instantly. This ensures even the quietest team members have a voice in the “Refresh” process.

The Command Centre Logistics

Professionalism in logistics creates a “safe space” where people feel their time is valued and their work is important.

  • Invitations: Ensure the Challenge Strategist sends out the invites—this carries more weight than a Coach-led invite.

  • Visual Tools: Stock up on flip charts, projectors, and plenty of post-it notes.

  • Template Prep: Pre-draw your workshop templates on flip charts to save time and keep the energy high.

  • “Who is the ‘quiet hero’ on the Team I should suggest the Strategist acknowledge during the Workshop?”

  • “What is the one ‘uncomfortable’ data point we must face during the Refresh Workshop to ensure we hit our 100-Day Goal?”
